Anti-spam Policy

CIPHER CRM does not condone unsolicited or "spam" messaging. CIPHER does not send bulk or marketing messages, but it does let you start a WhatsApp chat, a call or an email from a lead or contact, share document links, and message customers in your customer portal. This policy sets out the consent, opt-out and platform rules you must follow when you reach people through CIPHER - and what happens if you do not. Following these rules keeps your account, and your customers' trust, safe.
Our commitment
We are committed to responsible communication. CIPHER CRM is a tool for businesses to reach their own customers with permission - not for sending unsolicited bulk messages. We do not condone spam, and we take action when the platform is used to send it.
Your obligations when sending via CIPHER
In plain terms: only message people who agreed to hear from you, always let them opt out, and be honest about who you are.
When you contact people by email, WhatsApp or the customer portal through CIPHER, you must:
- Have consent / opt-in - only message recipients who have agreed to be contacted by you.
- Honour opt-out / unsubscribe - provide a clear way to opt out and stop messaging anyone who does, promptly.
- Use an accurate sender identity - no forged, disguised or misleading sender details.
- Send honest content - no deceptive, fraudulent or unlawful messages.
- Respect your customers - keep frequency reasonable and content relevant.
Platform-policy compliance
In plain terms: WhatsApp and email each have their own rules. When you reach people through CIPHER, you follow them too.
Messaging channels have their own rules, and you are responsible for following them when you send through CIPHER:
- WhatsApp - WhatsApp's own terms and messaging policies for the account you chat from.
- Email - applicable anti-spam and data-protection law.
Where a platform's rules are stricter than this policy, the platform's rules also apply.
Prohibited practices
In plain terms: no bought or scraped lists, no messaging people who said no, and no fake sender details.
The following are not allowed on CIPHER:
- Using purchased, rented, scraped or harvested contact lists.
- Sending to people who have not consented, or who have opted out.
- Deceptive subject lines, headers or sender information.
- Any messaging that is unlawful, fraudulent, or violates a platform's policy.
Consequences & enforcement
In plain terms: use CIPHER to spam and we can warn you, switch off messaging, or close the account - depending on how serious it is.
If we find the platform is being used to send spam or in breach of this policy, we may issue a warning, throttle or disable messaging features, or suspend or terminate the account - depending on the severity - and cooperate with messaging platforms and authorities where required. Enforcement is consistent with our Terms of Service and Abuse Policy.
Reporting spam
Received spam sent through CIPHER, or want to report misuse? Email hello@ciphercrm.co with details (sender, message, date). We investigate reports and act on them.
