Definition

What is document expiry tracking?

Document expiry tracking means recording when each important document stops being valid, so nothing runs out without anyone noticing. In CIPHER CRM you choose which document types need an expiry date. Those documents then carry the date, and once it passes the document is visibly flagged on the record where it is filed.

CIPHER CRM separates formal paperwork from everyday files. Photos and working files go in Attachments, while contracts, licenses, certificates and similar papers go in a dedicated Documents tab. Each document is filed under a Document Type that you configure, and the tab groups documents by type, so you can see at a glance what is on file for a customer, a lead or a project. For types where dates matter, you can make an expiry date required, and any document past its date gets a visual flag. Staff profiles have their own Documents tab with the same expiry tracking, which suits ID papers, permits and training certificates. When you set up your workspace, picking your industry adds document categories suited to your trade, so you start with a sensible list rather than a blank one. CIPHER CRM is used by 192+ businesses and rated 4.8 out of 5.

The problem

What happens without document expiry tracking

A client's insurance certificate ran out two months ago, and nobody noticed until a job was already booked.

Contracts, licenses and random photos sit together in one folder, so the important papers are hard to find.

Expiry dates live in one person's calendar, and when that person leaves, the dates leave with them.

Staff permits and certificates sit in paper files that nobody checks until an inspection comes around.

You have to open every document one at a time to find out when it runs out.

Why CIPHER

Why document expiry tracking is better in CIPHER

Most CRMs treat a contract like any other attachment. We give formal paperwork its own place and its own dates.

  • Papers apart from the clutter

Keeping formal documents out of Attachments means they do not get buried under photos and drafts.

  • Rules set by type

Deciding per Document Type whether an expiry date is needed keeps the rule the same for everyone who files.

  • Visible without a search

Flags on the record itself show expired documents without anyone running a check.

  • Ready for your industry

Industry setup gives you a starting list of document categories instead of an empty screen.

How it works

How document expiry tracking works in CIPHER CRM

  1. Set up document types

In settings, list the kinds of paperwork you keep and choose which ones need an expiry date.

  2. File a document

Open the customer, lead, project or staff profile and add the document to its Documents tab under the right type.

  3. Add the expiry date

For types that need one, enter the date the document stops being valid.

  4. Watch for flags

Documents past their date are flagged on the record, so you know to chase a fresh copy.

How does document expiry tracking work in CIPHER CRM?

You file formal paperwork in the Documents tab of a record, under a Document Type you have set up. For types that need it, an expiry date is required. Once that date passes, the document is flagged on the record, so expired papers stand out without anyone searching for them.

Do all documents need an expiry date?

No. You decide per Document Type. Licenses and certificates might require an expiry date, while a signed floor plan or a letter of intent might not. Making it a rule for the type means everyone on your team files that paperwork the same way.

Will CIPHER CRM remind me before a document expires?

Expired documents are flagged on the record where they are filed. If you want a nudge ahead of the date, add a reminder on the same lead or customer, and CIPHER CRM will notify you, or the teammate you assign it to, when it is due.

Can I track expiry dates for staff documents?

Yes. Every staff profile has its own Documents tab with the same expiry tracking. It suits ID papers, work permits, driving licenses and training certificates, and expired ones are flagged on the profile just as they are on customer records.

Which records have a Documents tab?

Leads, customers, projects and staff profiles each have a Documents tab, and it can be switched on for sales documents too. That means a contract can sit on the customer, a site permit on the project and a certificate on the staff member it belongs to.

Where do the document types come from?

You configure them in settings to match your paperwork. When you first set up your workspace and pick your industry, CIPHER CRM adds document categories suited to that trade, so you start with a useful list and adjust it from there.

How is this different from attachments?

Attachments hold everyday files like photos and drafts. The Documents tab is for formal paperwork that needs a type and, often, an expiry date. Keeping the two apart means your important papers are grouped, dated and flagged rather than lost in a long file list.
