The follow-up is where most deals are won or quietly lost, and where most salespeople write the same tired line: "just checking in." It gives the reader nothing to react to, so they do not - and a deal that was alive goes cold on a bad message.
A good follow-up is not about persistence alone; it is about giving the other person a reason to reply. This guide covers what makes someone respond, how to structure a message, and a few adaptable templates you can make your own.
Why do follow-up messages get ignored?#
Because they ask for something without offering anything. "Just checking in" and "any update?" put all the work on the reader and give them no reason to prioritise you. People reply to messages that are easy to answer and worth answering - a specific question, a useful piece of information, a clear next step.
What makes someone reply?#
A reason and a low effort. The best follow-ups do one of three things: ask a specific, easy question ("did the revised quote work for your budget?"), add something useful (a relevant detail, an answer to a likely worry), or propose a clear next step ("shall I hold Thursday 4pm for a quick call?"). Each gives the reader an obvious, small thing to do.
How do you structure a follow-up (opener, value, ask)?#
- Opener: one personal line that shows this is not a copy-paste - reference the last conversation.
- Value: the reason for the message - a question, an update, or something useful to them.
- Ask: one clear next step, easy to say yes to.
Keep it to a few lines. A follow-up should be readable at a glance on a phone, because that is where most of them are read.
WhatsApp versus email follow-ups#
On WhatsApp, be shorter and warmer - it is a conversation, not a letter. On email, you can add a little more context. Either way, log the thread against the deal so the whole team can see it. In CIPHER CRM, the communication log keeps the chat recorded on the customer, and follow-up reminders make sure the next message actually goes out.
How many follow-ups before you stop?#
More than most people manage - a good share of deals close on the fourth or fifth touch. Keep going, spacing the messages out and changing the reason each time, until you get a clear yes or no. When you truly reach the end, do not just stop: set a longer re-contact date, because "not now" is rarely "never".
Templates you can adapt#
- First follow-up: "Hi [name], good speaking earlier about [topic]. One quick thing - [specific question]? Happy to share [useful detail] either way."
- After a quote: "Hi [name], did the quote line up with what you had in mind on budget and timing? If a small change would help, tell me and I will sort it."
- Re-engage: "Hi [name], [relevant reason to reach out]. Is [their goal] still something you are looking at this quarter?"
- Break-up: "Hi [name], I do not want to crowd your inbox. Shall I check back in a couple of months, or is this one parked for now?"
